Privacy notice

How we handle your information

This notice covers the personal information you give us on ritevox.co.za. Last updated 27 October 2026.

Who we are

RiteVox provides cloud phone systems to South African businesses. For this website, RiteVox is the responsible party under the Protection of Personal Information Act, 2013 (POPIA). Questions about your information go to our information officer at [email protected].

What we collect

Only what you type into our forms. Quote request: your business name, town, industry, team size, your numbers and phones, your name, phone number, email address, best time to call and any notes. Partner application: your company, website, the services you offer, how many customers you look after, your name, phone number and email address. We don’t ask for ID numbers, banking details or special personal information.

Why we collect it

To answer your request: to call you back with a quote, or to set up a partner demo account. We don’t use it for marketing mailing lists, and we don’t sell or share it with anyone else for their own use.

Where it goes

When you send a form, our website emails it to the RiteVox sales team, and sends you a short confirmation with your reference number. The website doesn’t keep a copy in a database. The request lives in our sales mailbox, and if you become a customer, in our customer records. The website runs on Amazon Web Services in Cape Town (South Africa); email is handled by our email provider.

Cloudflare

Visits to the website pass through Cloudflare, which protects it from attacks and speeds it up. To check that a form is sent by a person and not a bot, the forms use Cloudflare Turnstile, which looks at technical signals from your browser (such as your IP address) but no form contents. Cloudflare may process this outside South Africa, under its own privacy commitments (cloudflare.com/privacypolicy), which protect it at a level comparable to POPIA.

What the website itself keeps

Like every web server, ours writes a technical log of requests (IP address, time, page and browser type). We use it to keep the site secure and working, and it is deleted after 14 days. To stop spam, the form service remembers how many requests came from an IP address for up to a day, in memory only. The site itself sets no cookies and uses no analytics or advertising trackers. Fonts are served from our own server.

How long we keep it

Quote and partner requests that don’t lead to business are deleted from our mailbox within 12 months. If you become a customer, your information is kept as your customer agreement and the law (for example tax law) require.

Your rights

You may ask what personal information we hold about you, ask us to correct or delete it, or object to us using it. Email [email protected]. If you’re unhappy with how we handled your information, you may complain to the Information Regulator (South Africa) at inforegulator.org.za.

Security

The website only accepts encrypted (HTTPS) connections, and forms are sent over an encrypted connection to our mail server. Access to the sales mailbox is limited to the people who need it.
